Dear Future SkiMeisters,                                                                                                                             

We are sorry for this lengthy explanation but this is IMPORTANT so please understand it.

Email has become the primary method of communication for SkiMeisters.  Information about all of our activities is being distributed in this way along with blogs on our website.  SkiMeisters will e-mail to existing membership and/or the Wait List and we want to be sure you receive all SkiMeisters Official e-mails.

On the down side, email SPAM is a part of all our lives today.  Herculean efforts are being made by many organizations to eliminate it.  SPAM filters and interceptors usually exist in the path between all senders of an email and all its recipients.  A number of Internet Service Providers such as Yahoo, Gmail, Comcast, and others, provide software buttons that allow a recipient to just click on the button and, thereby, report SPAM abuse to their ISP.  

Our SkiMeisters ability to continue using email is in jeopardy in part because in the past one of our members had reported to her ISP that we were sending SPAM to our members.  It turns out that the member who reported us did so accidentally with the “Report SPAM Abuse” button.  When this circumstance arose, our web hosting company said that we were not complying with the terms of service to which we had agreed.

  Our Terms of Service state that we must ask our members as well as our Wait List applicants, in two different forms they term Double E-mail permission to state that they wish to receive the email messages sent out by SkiMeisters, after we tell them the nature of the emails.  The first form is this E-Mail Authorization document that asks you to state what your email address is and that you wish for SkiMeisters to send all “Official” email messages to you. The second E-mail permission is the Wait List application for membership that you submit because it also includes a place for you to provide your email address. 

            Further, we must provide a means for members to Opt-Out or change their minds about receiving SkiMeisters email.  This will be a phrase to manage your subscription or unsubscribe at the end of each SM Official E-mail message that provides for contacting our Membership Administrator and having your email address removed.  Should you do so, we will have to drop you from our Wait List or membership.

 In addition, vendors that provide email sending services monitor whether our messages are opened and if they are not it raises a warning flag. If too high of a percentage are deleted without opening it tells the service that SkiMeisters is sending mail that is not desired by the recipients. Even though SkiMeisters knows you have signed our Email Authorization form, the sending service doesn’t and if too much mail is deleted unopened, they will suspend our club from using their service. So it improves our standing with these services, even if you know you won’t attend the event in the email, if you open a large percentage of our messages and then delete them. It improves the appearance that you want to continue to receive them.

Once we are complying with the Terms of Service, it will be up to our members and those on the Wait List to be sure that they do not report any of our messages as SPAM, even by accidentally hitting the SPAM button. You will be able to remove your name from mailing lists of the club's recreational activities that you don't wish to participate in.  If you truly do not want to continue receiving SkiMeisters email, then contact our Wait List Administrator.  Do not click on the SPAM button.  We will promptly comply with your removal request.  Should you do so, we will have to drop you from our Wait List or membership.

So, please sign this E-Mail Authorization form.  If you wish to continue to receive email from SkiMeisters, then place a checkmark in the boxes that indicates you wish to continue. 

We apologize for the stringent tone of this message but being declared spam, or frequently clicking Delete without opening mail, can cause our small organization a great deal of trouble.

General email about SkiMeisters activities comes from emailadmin@theskimeisters.org. 
Official full members email may also come from either membership@theskimeisters.org  
or from wl.skimeisters@gmail.com for membership invitations, renewal or other such purposes.
Individual or small batch mail will come directly from mem.skimeisters@gmail.com.
Other “Sender” addresses may be added in the future. 

All of this email will only be about SkiMeisters Official Business.  The description of all of this email is “SkiMeisters Official Email”.  These “Official” emails may be about any activity sponsored by SkiMeisters.
